Privacy Policy

This policy explains what data Run Wild collects, how we use it, and who we share it with. Run Wild is an AI-powered CRM and communications platform for service businesses: our software reads your business communications, understands them, and — with your configuration — acts on your behalf. This policy describes what that means for your data and the data of the people you communicate with.
Throughout this policy, "you" and "your" mean the business (the account owner and its members) that uses Run Wild. "Your customers" means the people whose information you store in Run Wild or who communicate with you through it.
1. Information We Collect
Account data
When you sign up, we collect your name, email address, and — if you subscribe to a paid plan — billing details. Payment card details are handled entirely by Stripe; Run Wild never sees or stores full card numbers.
Customer data you store
Run Wild is a CRM, so you store information about your customers in it: names, email addresses, phone numbers, physical and billing addresses, notes, and the records of your relationships (contacts, groups, pipelines, and matters). You control this data. You are the controller of your customers' personal information; Run Wild is the processor acting on your instructions.
Communications content
To do its job, Run Wild reads and stores the content of communications you route through it:
- Email — if you connect a mailbox (for example, via the Gmail API or the Microsoft Outlook API in Microsoft Graph), we read incoming messages so the AI can understand and file them, and — where you have enabled sending — we send messages on your behalf. Email ingestion is forward-only from the moment you connect; we do not backfill your historical inbox unless you explicitly ask us to.
- SMS and voice — messages and call audio sent or received through the telephony provider (Telnyx) are stored, and call audio may be transcribed to text.
Usage telemetry
We record operational and billing telemetry: which features you use, the volume of AI operations you consume (metered as "Pulses"), token and provider cost per operation, error diagnostics, and standard server logs. We use Vercel Analytics and Vercel Speed Insights for privacy-friendly, cookieless traffic measurement on our website.
2. How We Use Your Information
- To run the product — store your CRM records, read and file your communications, draft and send messages you have authorized, and progress your pipelines.
- AI processing — the content of your communications and CRM records is processed by large language models to comprehend messages, extract structured information, and generate replies. Model calls are made through our AI providers (see Subprocessors). Your data is not used to train third-party foundation models; our model providers process it under enterprise/API terms that exclude training on your inputs and outputs.
- Billing — meter usage and charge your plan and any usage above your included allowance.
- Support, security, and improvement — diagnose issues, prevent abuse, and improve the service.
- Legally required disclosures — comply with law and enforce our terms.
We do not sell your personal information or your customers' personal information, and we do not share it for cross-context behavioral advertising. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes, and text-messaging opt-in data and consent are never shared with any third parties.
3. Google API Services User Data — Limited Use
When you connect a Google account (for example, Gmail), Run Wild's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically:
- We use Gmail data only to provide and improve the user-facing features described in this policy — reading and filing your incoming mail, and sending mail you have authorized.
- We do not transfer Gmail data to others except as necessary to provide or improve those features, to comply with applicable law, or as part of a merger or acquisition — and never to advertising platforms, data brokers, or information resellers.
- We do not use Gmail data for serving advertisements.
- We do not use, and we do not permit our service providers to use, Gmail data to develop, improve, or train generalized or non-personalized artificial intelligence or machine learning models. AI processing of your messages is performed solely to power the user-facing features above for your account, and our model providers process that content under API/enterprise terms that exclude training on your inputs or outputs.
- We do not allow humans to read your Gmail data, except (a) with your affirmative agreement (for example, when you contact support and ask us to investigate a specific message), (b) where necessary for security purposes such as investigating abuse, (c) to comply with applicable law, or (d) where the data has been aggregated and anonymized for internal operations.
Automated AI processing of message content to power the features above is the app's own operation, not human access.
4. Microsoft Account and Outlook Data
When you connect a Microsoft account (Outlook or Microsoft 365), Run Wild accesses your mailbox through the Microsoft Graph API. Our use of that data complies with the Microsoft APIs Terms of Use and applicable law, and our privacy practices are at least as protective as the Microsoft Privacy Statement.
- We use Microsoft mail data only to provide the user-facing features described in this policy — reading and filing your incoming mail, and sending mail you have authorized — under the access you expressly grant when you connect your mailbox.
- We do not use Microsoft mail data, or any data derived from it, for advertising or marketing, including targeting or serving advertisements.
- We do not use Microsoft mail data to develop, improve, or train generalized or non-personalized artificial intelligence or machine-learning models. AI processing is performed solely to power the features above for your account.
- We store this data securely, keep it current with your mailbox, and delete it when you disconnect the mailbox, close your account, or stop using the service, in line with the retention practices in Section 7.
- Revoking access. You can revoke Run Wild's access to your Microsoft data at any time at https://account.live.com/consent/Manage (personal Microsoft accounts) or https://myapps.microsoft.com (work or school accounts), or by disconnecting the mailbox inside Run Wild. Revoking access stops all further reading of your mailbox.
5. SMS and Text Messaging
Run Wild sends SMS text messages to account holders who provide a mobile number and opt in — for example, account and security notifications and service updates. Messaging is operated through our telephony provider, Telnyx, under A2P 10DLC registration.
- Consent. We send SMS only to people who have opted in by providing their mobile number and agreeing to receive messages. Consent to receive text messages is never a condition of purchase.
- Message frequency and cost. Message frequency varies. Message and data rates may apply.
- Opt-out and help. You can opt out at any time by replying STOP to any message; reply HELP for help, or contact us at support@runwild.ai.
- No sharing of mobile data. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent are not shared with any third parties, and every category of data sharing described elsewhere in this policy excludes that opt-in data and consent.
6. Subprocessors
We rely on a small set of vendors to operate Run Wild. Each processes only the data needed for its function, under a data-processing agreement.

7. Retention and Your Choices
- While your account is active, we retain your data so the product works.
- Account and organization deletion — you can delete your user account, and an organization owner can delete an organization, from within the app. Deleting an organization removes its records from the live product. Backups and logs may persist for a limited period before being overwritten, and we may retain limited records where required for legal, tax, or accounting purposes.
- Disconnecting Gmail — revoking access (in Run Wild or in your Google account settings) stops all further reading of your mailbox.
- Disconnecting a Microsoft mailbox — revoking access (in Run Wild, at account.live.com/consent/Manage for personal Microsoft accounts, at myapps.microsoft.com for work or school accounts, or in your Microsoft account settings) stops all further reading of your mailbox.
- Data export — you can request a copy of your organization's data by contacting us; self-serve export is on our roadmap.
- Access, correction, and deletion rights — depending on where you live (for example, under GDPR or CCPA/CPRA), you may have rights to access, correct, delete, or port personal data. To exercise these rights, contact us. For your customers' data, we act on your instructions as the processor; individuals should direct requests to the business that holds their information.
8. Cookies
Our web application uses cookies that are strictly necessary for sign-in, session management, and security. Our website analytics (Vercel) are cookieless. See our Cookie Policy for details.
9. Security
We protect your data with encryption in transit and at rest, scoped access controls, and reputable infrastructure providers. No system is perfectly secure, and we do not claim certifications we do not hold. We will notify affected customers of a data breach as required by law.
10. Children
Run Wild is a business tool and is not directed to children under 16. We do not knowingly collect personal information from children.
11. Changes
We may update this policy as the product evolves. Material changes will be reflected in the "Last Updated" date and, where appropriate, communicated in-app or by email.
